Set the migration boundary
Choose the first live period and decide which historical data must be available in the new workflow. Collect employee identifiers, active employment details, pay settings and relevant opening balances. Keep a controlled copy of the source records so discrepancies can be traced back to their origin.
Run the same period in both processes
A parallel payroll uses the same period and source evidence to compare the expected result with the new system. Review totals and individual earnings, deductions and adjustments. Include edge cases rather than selecting only employees with unchanged basic pay. Record each difference and its resolution.
Agree who signs off before switching
Give the payroll owner responsibility for reconciliation and the operational owner responsibility for access and handoffs. Confirm required exports, payslip publication and the bank process separately. Migration support and integration work need an agreed scope; a software subscription alone does not define the full implementation.
