How ElevenChase collects, uses, and protects information within ElevenOS.

Overview

This Privacy Policy explains how ElevenChase ("ElevenChase", "we", "us") handles information within ElevenOS, our HR, attendance, and payroll platform. It applies to the organizations that use ElevenOS ("Customers") and the employees, contractors, and applicants whose data Customers manage through it ("Users").

ElevenOS is built for Philippine HR operations. We design our data handling practices with the Data Privacy Act of 2012 (Republic Act No. 10173) in mind, alongside general good-practice data protection principles.

Information we collect

Account information: name, work email, phone number, and organization details for the people who sign up for or are invited to an ElevenOS workspace.

Employee records: information Customers choose to store in ElevenOS to run HR, attendance, and payroll, such as employment details, attendance and leave records, payroll and compensation data, benefits enrollments, and documents uploaded by Customers or Users.

Usage data: log and device information generated when the platform is used, such as sign-in activity, IP address, and general device or browser information, used to keep the platform secure and reliable.

Attendance and optional location sharing

Attendance actions may save GPS coordinates, capture time, accuracy, and the result of checking the configured workplace boundary.

For employees selected by HR, the native mobile app also offers optional on-duty location sharing. It starts only after the employee chooses Start sharing and grants location permission. While active, it can send location samples in the background to authorized users in the employee's organization. Employees can stop sharing at any time. Sharing sessions end at clock-out, when HR disables access, or at their shift deadline, with a maximum of 12 hours after clock-in.

On-duty sharing samples and session history are retained for 30 days. The mobile app does not queue these GPS samples for later offline upload. These limits are separate from retention of attendance and payroll records.

When a user chooses to load a map, map tiles are requested from OpenStreetMap for the displayed area. The timeline shows recorded samples and their timestamps, not a guaranteed current position or exact travel route.

How we use information

To provide the core ElevenOS product: employee records, attendance, leave, approvals, payroll processing, and related workflows configured by each Customer.

To secure accounts and workspaces, including authentication, access controls, and audit trails.

To communicate with Customers about their account, service updates, and support requests.

To improve ElevenOS based on aggregated, de-identified usage patterns where possible.

Data ownership and access

Each Customer owns the employee and workforce data entered into its ElevenOS workspace. ElevenChase acts as a data processor on the Customer's behalf for that data, and access is scoped by tenant so one organization's data is not visible to another.

Within a workspace, access to employee data is governed by the roles and permissions the Customer configures.

How information is shared

We do not sell personal information.

We may share information with subprocessors that support ElevenOS operation, such as hosting and infrastructure providers, strictly to provide the service.

We may disclose information if required by law, regulation, or a valid legal request.

Data security

ElevenOS uses tenant-aware access controls, encrypted connections, and role-based permissions to help protect the data Customers store in the platform. No system can guarantee absolute security, and we continue to invest in improving these safeguards over time.

Data retention

We retain Customer and User data for as long as the Customer's workspace is active, and for a reasonable period afterward to comply with legal, tax, or audit obligations, unless a shorter period is required by law or requested by the Customer.

Your rights

Depending on your role, you may have rights to access, correct, or request deletion of your personal information. Users should generally start with their organization's HR administrator, since Customers control the data stored in their workspace. Customers and Users can also reach us directly using the contact details below.

Changes to this policy

We may update this Privacy Policy as ElevenOS evolves. Material changes will be reflected by updating the date below.
